Virtual appointment guidelines for patients
For attending physicians and nurse practitioners only
Appointments at our clinic can be in-person or virtual (by phone or video). These guidelines apply only to attending physicians and nurse practitioners, not to residents or other providers.
If you're unsure which type of appointment is best for your concern, our medical secretaries can help you decide.
In some cases, your physician or nurse practitioner may determine that a virtual appointment isn’t enough to assess your condition. If that happens, you need to book an in-person appointment for a physical examination and provide the care you need.
Our priority is to ensure you receive the care that best meets your needs.
- Virtual appointments may be appropriate for:
- Mental health concerns such as anxiety, depression
- Mild respiratory infections such as cold, flu, cough, unless patient is younger than one or older than 65
- Sexual health, such as birth control counselling and routine sexually transmitted infection (STI) screening with no symptoms (excluding procedures)
- Review of laboratory or imaging results
- Prescription refills or medication adjustments
Follow-up concerns that may be done virtually (if symptoms haven’t changed or worsened):
- Headaches
- Dizziness or vertigo
- Numbness or tingling
- Moderate to severe cold, flu, or cough symptoms
- Stomach, digestion, or gastrointestinal issues
- Long-standing pain in the back, chest, stomach or ear
- Muscle, tendon, or joint pain or injuries
Some concerns must be assessed in-person:
- Appointments with residents (unless otherwise specified by the attending physician)
- Physical examinations
- Procedures such as immunizations, intrauterine device (IUD) insertion, skin biopsy and more
- Rashes or skin conditions
- Joint pain
- Well-child visits
- Baby and child care
- Routine prenatal visits
- New or acute pain in the back, chest, stomach, or other internal organs
- If English is not your first language and an interpreter is required
If you have urgent concerns, please refer to the ‘When to go to an emergency department’ section on our After-Hours Urgent Care Clinic page.
How to prepare for your appointment
Please bring your health (OHIP) card and a list of all your current medication and supplements with you to each appointment.
If you have a virtual appointment, we will provide you with instructions about how to access your appointment. Please be ready fifteen minutes before your appointment time. Your physician may call later than expected as they wrap up consultations with other patients.
If your appointment is regarding a dermatology (skin) issue, please email a picture to [email protected] at least 24 hours in advance of your appointment. This gives us time to place the photo in your chart and prepare for your appointment.
How to cancel your appointment
Appointments with our team are in high demand. Cancelling your appointment as early as possible allows another person the opportunity to access timely medical care. We kindly ask that you that you contact our office 24 hours before your scheduled appointment to cancel or re-book. Failure to do so may result in a minimum cancellation fee of $50.
How to access after-hours urgent care
Visit our After-Hours Urgent Care Clinic for information about how to access care during evenings and weekends. If you are experiencing a medical emergency, go directly to your nearest emergency department.

We are a teaching clinic
At our clinic, staff physicians, residents, interprofessional health-care workers and administrative staff work together as a team to provide continuity of care and ensure that you receive comprehensive, high-quality care.
This means that during your visit, you may be cared for by a resident physician. Residents are physicians who have completed medical school and are undergoing postgraduate training to specialize in family medicine.
While your staff physician may not always be present in the examination room during your visit, they are always directly involved in your care by supervising and directing the care provided to you by the resident.
Thank you for helping us train the next generation of family physicians.
